Privacy Policy

This explains what personal data Vireka (operated by Futurize Now) handles and why. We keep it deliberately small.

What we collect

• Account: your email address and, if you set one, a password — stored only as a salted one-way hash, never in readable form.
• Your setup: the profile choices you make (role, focus areas, watched companies), your watchlist, alert subscriptions, notes and ratings, and team membership.
• Files you upload to congress workspaces or topic kits, and what is extracted from them.
• Usage: which molecules are viewed or asked about, logged without your identity to produce aggregate trends, plus counters used to limit abuse (keyed to IP address or email). Each counter only counts within its time window, but old counters are not yet deleted automatically; we are adding a scheduled clean-up.
• Browser storage: one session cookie that keeps you signed in, and a small preference for light/dark theme. We use no advertising or third-party tracking cookies.

Why we use it

To run the service you asked for: sign you in, keep your watchlist and settings across devices, email you sign-in codes and the alerts you subscribed to, share a team’s content with that team, protect the service from abuse, and understand overall usage. We do not sell personal data and we do not use it for advertising.

Who processes it for us

• Vercel — hosting.
• Neon — database.
• Resend — sending sign-in and alert emails.
• Stripe — payments. Card details go straight to Stripe and never reach us; we keep your email, plan, seat count and Stripe customer and subscription IDs.
• Anthropic — AI analysis. Questions you ask and the public-source text being analysed are sent to it, together with context you give us: your profile choices, your topic kits (their descriptions and the text extracted from files you upload to them, including kits a teammate shared), and, when you generate a congress brief or report, that workspace’s notes, extracted file text and uploaded images. We do not send your email address.
• Folio (Futurize Now’s own document service) — typesetting PDF downloads. It receives the content of the brief being rendered, which can be tailored to your profile; no email address is sent.
• TypeSafe — classification of public records (trial, label and news text). No personal data is sent.

Public-data lookups (ClinicalTrials.gov, FDA, PubMed and similar) carry the molecule or company name being searched, not who is searching.

Teams

If you join a team, other members can see the shared watchlist and team notes you contribute, any congress workspace you share with the team (its plan, notes, uploaded files and abstracts), and any topic kit you mark as shared, including its uploaded files. A congress workspace you do not share, and a kit you do not mark shared, stay visible only to you. If you open a public field-collection link for a congress, anyone holding that link can add submissions to it, but cannot read anything in the workspace.

Retention and deletion

We keep account data while your account exists. Cached dossiers are public-source material and expire automatically. To access, correct, export or delete your data, or to close your account, email fasa@futurizenow.co; we will act on it within 30 days.

Your rights

Depending on where you live (for example under the GDPR or UK GDPR) you may have rights to access, rectify, erase, restrict or port your data, to object to processing, and to complain to your data-protection authority. Where we rely on legitimate interests (security, aggregate usage) you may object at any time.

Security

Traffic is encrypted in transit, passwords are hashed, sign-in attempts are rate-limited, and access to congress workspaces, uploaded files and other team content is checked on every request: it is limited to their owner and, where shared, to current members of that team. No system is perfectly secure; if a breach affects you we will tell you without undue delay.

Children

Vireka is for professional use and is not directed at children under 16.

Changes

If we change this policy in a material way we will say so in the service or by email.
